Overview:Provide customer support by servicing the needs of existing and prospective Dealer Commercial Services customers, ensuring a smooth delivery of superior customer service by processing all daily requests by our cutoff times and resolving all issues or questions in a timely matter. This position is a combination of customer service with both internal and external customers at an operational level and requires you to learn all aspects of the DCS department.Primary Responsibilities:Act in a liaison capacity between the customer and the Dealer Commercial Services representatives, responding to questions and resolving problems.Interact daily with various operational areas of the bank in order to review, research and correct operational and accounting customer problems to include but not limited to settlement desk, tickler and file maintenance and account reconciliation.Open new accounts, process wire transfers and prepare daily lending and payment documentation on Dealer Commercial Services loans.Handle and process all account maintenance.Process loan documentation on newly approved and closed loans.Disburse proceeds according to instructions.Review various departmental reports for variances.Keep abreast of product lines, internal policies and procedures, and external regulations that may impact assigned area.Perform other duties and assignments as requested by management.The incumbent is responsible for performing all follow-up and backup work required to support Dealer Commercial Services representatives with day-to-day customer service. This allows Dealer Commercial Services representatives to focus on generating sales and not the administrative responsibilities.Possess the ability to initiate independent action, using skill and judgment in identifying and resolving problems and anticipating customer needs.Review and Process all dealers’ requests via email and phone by reaching out to dealers or whomever is needed to ensure all requests are processed within our cutoff times and 24-hour turnaround time.Ensure new distributors (Auction houses/Manufacturers) are setup on system by gathering banking instructions, reaching out to the bank to confirm bank accounts and routing information for ACH funding, also making sure that ticket is submitted via My IT to have these setups on system. Finally reaching out to the distributor to have a walk through with them and ensure they can access our system to pull reports or enter commitments for our dealers. As well as provided them with our contact info so they have a contact for any future issues.Review and Process all Auction House requests via email by reaching out to dealers to ensure there is no issues with flooring specific units. Or Reaching out to RM’s for exceptions to process requests that are outside of the dealers specified agreement and ensure the requests are processed within our 24-hour turnaround time.Create new dealers in the WI system by completing a dealer setup form based off a DAS setup form / Booking sheets from Ncino and reviewing the Ncino approval and credit memo. As well as Create dealer setups for renewals/Modifications/or dealer updates for our dealers based on emails sent to the DCS Maintenance box or responses from the PM/RM’s emails using the Ncino approval/Credit Memos and WI to ensure everything is entered correctly for the PM’s review and then submit a ticket in the MYIT system to have this information updated in our third-party system WI and once that is completed reviewing and ensuring everything is accurateResponsible for performing all follow-up and backup work required to support Dealer Commercial Services clients with day-to-day customer service.Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.Follow appropriate policies and procedures as required by audit and regulatory compliance as relevant to assigned duties.Monitor, Review, and Reply to Emails from Multiple Email boxesThe incumbent must possess the ability to initiate independent action, using skill and judgment in identifying and resolving problems and anticipating customer needs.Maintain and track all daily activity on our internal tracking system RMM with a goal of 85% productivity on a daily basis.Notify RM/RL3 of customer related issues to allow pro-active consultation on matters that we are not directly related to floor plan.Review collateral documents (Front and Back of Titles, MV50’s, Reassignments, POA’s or MSO/CO for new units) for dealerships to ensure that they in fact own a vehicle and that we have proof before sending that on to the person to approve and fund the dealer.Process Collateral Transfers between collateral lines and or sister stores for a specific dealer groupProcess Conversion requests per the dealer based on additional invoices sent to us. During this process you must review the backup and ensure it is in fact the same unit on floor plan already and that we are funding either the dealer or the manufacturer depending on the type of request.Answer the customer service line, assisting with password resets, dealer unit information, and or reaching out to the dealers RM/RL3 for a resolution regarding any items that are not floor plan related.Process RV Dealer funding Requests by reviewing and taking their requests to be input into a spreadsheet and then cross reference the Manufacturer Supplier codes to be entered into the spreadsheet based on the manufacturer that is being funded and then dropping the file into our Dealer System for funding purposes to the manufacturers. Once the file is dropped it need to be reviewed and ensure the unit is floored on the correct account and funded to the proper manufacturer.Review and monitor the NCINO approvals for the department by running a report for each in the morning and making sure they are saved for audit. Also ensure approval emails are sent out to the RM’s/PM’s/RL3’s and Closing Specialist and ensure a response is received from the PM/RM stating if anything is needed regarding the dealers floor plan accounts and the processing those requests using a dealer setup sheet or preparing a schedule to demand note for permanent changes such as rate changes or new collateral lines.Prepare wire transfer requests by reviewing documents and ensure the proper forms are completed and there is no exposure to the bank, contacting the dealer based on who signed the wire form and confirming on our reference sheet that, that person is in fact able to sign for wires and confirming the full wire over the phone with the dealer contact and signing off on it and sending it to the person in WI to process unit approvals for the wire then sending it on to the final person to process the wire through treasury centerEducation and Experience Required:Associate’s degree and a minimum of 1 years’ related work experience, OR in lieu of a degree, a combined minimum of 3 years’ higher education and/or work experience, including a minimum of 1 years’ related experienceEducation and Experience Preferred:Bachelor’s degreeKnowledge of bank policies, procedures, and banking regulations.Knowledge of loan documentation.Excellent customer service skills with the ability to use tact and diplomacy.Ability to work as a team member.Proficient personal computer skills, including Microsoft Word and Excel.We encourage candidates with relevant military experience to apply.M&T Bank is committed to fair, competitive, and market-informed pay for our employees.
