Accounting, Administrative, Procurement Coordinator

POSITION SUMMARY – This position is based in Toliara

They are responsible for the efficient and safe management of the organization’s vehicles. This includes planning, maintenance, optimal usage, and ensuring compliance with internal policies and local regulations. The role provides essential logistical support to operations by ensuring the availability and reliability of transportation resources.

RESPONSIBILITIES

Support the department by providing routine general administrative and operational support as directed. Duties typically include the following:

Accounting and Finance

  • Examine supporting documentation for all financial transactions in compliance with organizational policies and procedures: invoices, cash advance reports, and travel expenses reports.

  • Process all financial transactions in Business World accurately and timely.

  • Issue payments in accordance with approved procedures.

  • Assist with monthly and annual financial closing activities.

  • Examine invoices, cash advance reports, and travel expenses reports to ensure that procedures are respected.

  • Ensure adherence to internal controls and organizational standards.

  • Prepare and submit regular reports to the Administrative and Finance Manager.

  • Support audits and internal reviews as required.

Administrative and Logistical Support

  • Provide comprehensive administrative support to the satellite office.

  • Coordinate logistical support for meetings, travel, and office operations.

  • Ensure proper documentation and filing of administrative records.

  • Copy, collate, and bind documents and distribute as directed. Operate and maintain copy machines and related office equipment.

  • Maintain administrative files on procurement.

  • Manage the delivery and distribution of goods and materials. Handle outgoing mail, including preparing and packing materials for dispatch.

  • Perform other related duties as assigned.

Procurement and Inventory

  • Execute procurement of goods and services in compliance with CI policies and procedures.

  • Maintain and update the fixed assets inventory.

  • Manage office supply stocks, ensuring availability and proper documentation.

  • Assist the Finance and Administrative Manager in identifying new opportunities and negotiate with vendors the terms of procurement contracts to secure advantageous terms in the best interest of the CI main office.

  • Ensure all procurement requests are completed correctly to the applicant.

Property and Office Management

  • Manage and secure office supplies inventory and stock. Maintain inventory logs.

  • Maintain supply room(s) and ensure that staff have the office supplies needed. Distribute and deliver supplies as requested.

  • Coordinate small office repairs to allow CI staff to work in good condition

  • Proceed to the labeling of new materials according to existing procedures

  • Participate in furniture and equipment inventories at the end of the fiscal year.

  • Prepare the purchase order, receive, store, and issue goods.

Fleet Management

  • Coordinate and schedule vehicle usage for staff and operational needs.

  • Monitor daily vehicle usage, including mileage, fuel consumption, and trip logs.

  • Manage transport requests and optimize vehicle allocation.

  • Plan and oversee regular vehicle maintenance and repairs.

  • Ensure all vehicles comply with safety standards and legal requirements (insurance, technical inspections).

  • Maintain up-to-date documentation for each vehicle.

  • Track and control fleet-related expenses (fuel, maintenance, spare parts).

  • Prepare regular reports on fleet status, costs, and incidents.

  • Recommend improvements to reduce costs and enhance efficiency.

  • Supervise drivers, including scheduling, discipline, and training.

  • Ensure adherence to driving policies and internal procedures

People and Resource Management Responsibilities

  • Supervises support personnel.

  • Assist with the project implementation.

WORKING CONDITIONS

  • Typical office environment.

  • This role will be a fixed-term assignment.

QUALIFICATIONS

Required

  • 2 to 4 years of experience in financial management, administration, and procurement, including several years in a non-profit setting.

  • Sound understanding of accounting principles, processes, and standards.

  • Experience with accounting and financial reporting systems.

  • Advanced Microsoft Excel skills.

  • Attention to detail, highly organized, ability to prioritize and multitask, and meet deadlines in a fast-paced environment.

  • Ability to maintain a positive attitude, service focus, and work independently and as part of a diverse team.

Preferred

  • Bachelor’s degree in business, Accounting, Finance, Administration, or related field.

  • Familiar with MS Office, Google Mail, and basic internet research.

  • Good organization and communication skills. Ability to prioritize and manage high volume and varied tasks and meet deadlines.

  • Service focus. Courteous, tactful, and proven ability to work effectively with others from a variety of disciplines, cultures, levels, and backgrounds.

  • Ability to work under general supervision.
