Primary Purpose: The Department of Academic Family Medicine is a large complex provincially distributed medical education program in the College of Medicine at the University of Saskatchewan and is dedicated to excellence in patient care, teaching and learning, research, and administration. The communications assistant will provide support to the Academic Family Medicine communications division.
Nature of Work: The communications assistant will report to the communications manager. The incumbent will work in a fast-paced environment as part of a team while maintaining confidentiality and working collaboratively with faculty and staff across all Provincially distributed training sites, within the college and university, as well as with a broad range of internal and external stakeholders including students, alumni, donors, government, Saskatchewan health authority, health organizations and community and international partners.
Accountabilities:
- Content creation and oversight of social media. Responsible for the implementation of the social media annual plan developed by the Communications Manager.
- Responsible for updating the website for the department
- Drafting, editing, and distribution of department communications
- Overseeing department newsletters and assisting with content creation for annual reports
- Maintaining communications materials for access by the department
- Oversee the communications database and be the point of contact for creating and curating communications lists
- Provide graphic design support as needed
- Lead the procurement process for marketing materials and department swag
- General office and other related administrative duties
- Some travel may be required
Qualifications:
Education: Completion of a Grade 12 diploma and a recognized post-secondary education in communications, marketing, or social media content management is required. An equivalent level of education and experience may be considered.
Experience: Candidate must have a minimum three years’ experience providing administrative support in communications, marketing, journalism, public relations, or a related discipline within a fast-paced and highly dynamic office environment. Experience in website development and social media support are required. Demonstrated experience with graphic design is required. Experience in event planning is required. Experience working in diverse and inclusive environments is required. Knowledge of the University of Saskatchewan, family medicine, and the Saskatchewan healthcare system would be an asset.
Skills: This role requires highly effective interpersonal skills coupled with the ability to develop and maintain working relationships with coworkers; the ability to prioritize and function with competing deadlines; demonstrated excellent verbal and written communication skills; ability to interact effectively with students, faculty and other staff, handling interactions with professionalism (tact, discretion, confidentiality and cultural sensitivity); strong attention to detail; ability to recognize problems and to refer issues to other staff as appropriate. Success in this role requires balancing the ability to work independently and as part of a team; following instructions, policies and procedures while exercising initiative; setting priorities and seeking assistance when needed.
