Job Description Summary

Serve as Coordinator/Development Associate within the Office of Penn Medicine Development and Alumni Relations (PMDAR) as part of Penn Medicine Communications. Be part of a team that crafts dynamic stories and content (print and digital) related to Penn Medicine from conducting interviews, drafting copy, and utilizing design tools, this position is an opportunity to gain experience in development communications, community engagement, and grateful patient fundraising. Utilize various tools to track, analyze metrics, and contribute to strategies for improved audience engagement of development communications; maintain various websites both internal and external facing; build registration pages; facilitate URLs requests; design graphics and layouts; and serve as a resource for other digital communication needs. Contribute to administrative support for communications, events, stewardship activities, etc. Under limited supervision, will need to exercise judgment, initiative, and discretion in carrying out project-related duties for supervisor(s) and development staff. Will handle complex and highly confidential materials. Must have the ability to meet deadlines in a goal-oriented environment and have excellent organizational skills.

Job Description

Specific Responsibilities:

Reports to and supports Director of Digital Media and is part of the PMDAR Communications Team, which supports activities related to communication and frontline fundraising initiatives at Penn Medicine.

Help craft dynamic stories and content (print and digital) related to Penn Medicine from conducting interviews, drafting copy, and utilizing design tools to create meaningful donor communications.

Coordinate posting of digital content related to gifts, programs, third-party and community events, and other fundraising priorities. This includes working with development colleagues to collect and create content, coordinate the promotion in all appropriate newsletter and e-communication content on web, social media and other relevant outlets, and maintain an ongoing list of events to be highlighted in various communication pieces, both electronic and print.

Utilize various tools to track, analyze metrics, and contribute to strategies for improved audience engagement of development communications; maintain various websites both internal and external facing; build registration pages; facilitate URLs requests; create graphics; and serve as a resource for other digital communication needs.

Contribute to the administrative support for PMDAR Communications Team, including meeting scheduling, prospect/donor event and meeting preparations, and coordination of financial/budgetary needs including setting up purchase orders, vendor approval, processing of invoices, general travel needs, and reimbursement.

Helps support the acknowledgement process for PMDAR gifts – from drafting to managing the review and execution of personalized acknowledgments.

Interface, problem solve and execute projects with multiple colleagues across the University, including Gifts Administration, Finance, frontline fundraisers, stewardship and communications professionals in DAR and PMDAR. 

Interface with and provide exceptional service to internal and external audiences including donors and faculty regarding gift activity and acknowledgement. 

Provides information to faculty, staff, alumni; students, volunteers, trustees, and grateful patients concerning Penn Medicine Development.

Manages and maintains confidential files, records, and databases.

Uses conventional spreadsheets and database programs to maintain databases on prospects.

Completes basic development research using multiple PC-based systems, library references and files.

Composes and signs routine correspondence; prepares standardized reports.

Performs other duties as assigned.

Qualifications:

High School Diploma and 5-7 years administrative and/or project management experience or equivalent combination of education and experience required with progressively complex responsibilities preferred. Bachelor’s degree preferred. 

Excellent organizational, interpersonal and technical skills. 

Knowledge of best practices in organizing data and preparing data analysis, utilizing Microsoft Office Suite, with particular strengths in Excel, PowerPoint, and other templates.

Proficiency of Adobe InDesign and Photoshop and knowledge of best practices for graphic design and layout.

Ability to learn new software programs used by the University of Pennsylvania and PMDAR.

Thorough and comprehensive knowledge of office procedures, practices and methods. Knowledge of computer databases used in development research is helpful.

Ability to handle complex and highly confidential materials.

The incumbent works on a daily basis with and through senior institutional officers, trustees and volunteers, administrators, faculty, grateful patients, and development/alumni affairs/ public affairs colleagues, and must have experience, judgment, and communications skills commensurate therewith.
