Context:
IOM’s Department of Media and Communications (DMC) is comprised of experienced communications professionals based in Geneva and Manila.
The team provides advice and support on media and public information issues to IOM Headquarters, Regional and Country Offices worldwide. It is responsible for direct media relations with UN-accredited Geneva press corps and others, administers IOM’s global social media accounts and website and manages content submitted from around the world to be published on those global platforms, oversees institutional branding and initiates and manages global information campaigns.
DMC produces a wide range of print and audio-visual materials for a variety of audiences to enhance understanding about IOM’s work and its position as the leading UN agency in the field of migration, and to advocate on behalf of the rights of migrants worldwide.
Under the overall supervision of the Director, DMC and the direct supervision of the Deputy Director, DMC, the Coordinator and Support Officer (DMC) will be responsible and accountable for providing administrative, technical, analytical, and organizational support to DMC’s Senior Management.
Core Functions / Responsibilities:
- Liaise with counterparts in the department to ensure smooth coordination of events, priorities and workflows.
- Coordinate and support administrative and operational tasks within the DMC, including follow-ups with various teams, managing agendas, travel arrangements, and checking whether the assignments to different units and teams are completed effectively and within set deadlines.
- Coordinate the technical preparations for the Director/Deputy Director’s participation at HQ, field, and external events.
- Prepare briefing notes and status reports as required; review talking points for the Director/Deputy Director, and draft responses to incoming communications.
- Coordinate briefings and updates for the Director/Deputy Director and others on activities inside and outside the Organization which relate to the Deputy Director’s portfolio of responsibilities.
- Stay abreast of Departmental and Divisional workplans, initiatives and developments in the Office of Partnerships, Advocacy and Communications (OPAC) Pillar and provide support to the Director/Deputy Director on emerging needs, best practices, and to ensure necessary follow-up.
- Perform such other duties as assigned.
Required Qualifications and Experience:
Education
- Master’s degree in Management or International Relations from an accredited academic institution with two years of relevant professional experience; or,
- University degree in the above fields with four years of relevant professional experience in Management.
Experience
- At least two years (four years for bachelor’s degree holders) of relevant professional experience in coordinating work in the international system, as well as in a fast passed high pressure environment;
- Some experience in coordinating with the UN system, Member States, and other stakeholders, in various roles; and,
- Experience in agenda setting, high level presentations and engagements.
Skills
- Knowledge of organizational policies, practices and systems;
- Good liaison and communications skills;
- Experience in writing policy and/or guidelines;
- Excellent organizational skills, with proven record of maintaining oversight of multiple workstreams in parallel;
- Commitment, drive for results and efficiency;
- Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds; and,
- Demonstrated ability to work independently against tight deadlines.
Languages
IOM’s official languages are English, French, and Spanish. All staff members are required to be fluent in one of the three languages.
For this position, fluency in English is required (oral and written). Working knowledge of another official UN language (Arabic, Chinese, French, Russian, and Spanish) is an advantage.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
