Provides general assistance for the office by performing the following duties:
Essential Duties and ResponsibilitiesOther duties may be assigned.
- Welcomes visitors to the Office of the Provost. Knowledgeable of office affairs to answer questions and provide materials as needed.
- Presents a positive supportive image of the Office of the Provost and the Division of Academic Affairs, California Baptist University and Christian Higher Education.
- Facilitates communication and correspondence, reports, and memoranda on behalf of the Office of the Provost, administrative faculty, and directors within the Office of the Provost.
- Coordinates daily operations for Provost’s Office budget, instructional support budget, and internal grant budget. Processes requisitions for payment, tracks expenditures, reconciles the budget, makes recommendations, and submits budget transfers as needed.
- Reviews and reconciles monthly Visa statements packets for departments within Academic Affairs.
- Coordinates CBU Internal Grant operations. Reviews faculty requests for purchases and provides guidance under the direction of the Director of Academic Operations; tracks spending, assists with development of training resources and guidelines.
- Coordinates CBU Faculty Development Fund processes. Provides reports to the faculty development committee, facilitates communication regarding awards to faculty recipients, and reviews reimbursement requests.
- Creates and maintains training resources related to academic affairs operations for administrative staff.
- Optimizes experience for virtual meeting attendees of Academic Affairs team training meetings and assists with preparation and set-up.
- Provides support and assists with the Faculty and Staff Awards Banquet, Staff and Faculty Gatherings, Fall Faculty Workshop, Retirement and Farewell celebrations, and other events.
- Creates interview folders and greets faculty and staff candidates for the Office of the Provost and Division of Academic Affairs.
- Prepares outgoing mail and correspondence, including e-mail and faxes.
- Make copies of correspondence or other printed materials.
- Orders and maintains supplies and arranges for equipment maintenance.
- Maintains clean and orderly facilities for supplies, utilities, and general office organization.
- Process and distributes incoming mail for the Office of the Provost.
- Organizes and maintains file system, files correspondence, and other records.
- Maintains confidential records of keys, access codes, credit cards and issues same.
- Answers and screens Department’s telephone calls.
- Manages Provost’s Office calendar and independently schedules appointments.
- Processes paperwork and maintains records for Advanced Study Tuition Reimbursement Program.
Supervisory ResponsibilitiesThis position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.

While performing the duties of this job the employee is regularly required to stand; walk; sit; and requires sufficient hand, arm, and finger dexterity to operate computer keyboard or other office equipment.
