Purpose of the Role
Art UK is looking for a consultant or agency who can assist us with identifying our need around Digital Asset Management and publication, leading to the creation of a requirement specification for an appropriate solution which addresses all of our varied needs. This will be used for further funding applications and commissioning. The appointed consultant will need to work alongside an Environmental Impact Consultant (separately recruited) who will advise on sustainable development and mitigations for the potential environmental impact of the new DAM.
Contract Type: Freelance consultancy
Duration: 9-11 days (March-June 2026)
Fee: £12,000+VAT
Location: Remote (UK-based)
Reporting to: Director of Digital Infrastructure

Project timetable and milestones
Feb/March 2026 – Introductions, requirements and review of systems
March – May 2026 – IIIF, storage models, and metadata integration review
May 2026 – Interim findings from Environmental Impact Assessment shared
June 2026 – Recommendations report to feed into requirement specification and activity planning
August 2026 – Draft delivery phase application
November 2026 – Delivery phase application deadline

Essential
Strong familiarity with a range of DAM systems
Understanding of IIIF
Experience in analysing data to create recommendations.
Experience in creating a requirement specification for DAM systems for cultural heritage organisations.
First-class written and spoken communication skills and the confidence to engage effectively with a range of people.
Self-motivation and reliability.
Strong communication skills with ability to translate technical ideas for mixed audiences Significant knowledge and familiarity with the ‘Evaluation Good Practice Guidance’ set out on the NLHF website and good understanding of NLHF’s four investment principles under its 10-year strategy, Heritage 2033, and their application to this project.
Desirable
Knowledge of cultural heritage collections and open licensing
Prior collaboration with universities or technical research teams
Passion for making public collections more accessible and inclusive
