The School of Public Health division of Epidemiology and Community Health (EpiCH) is seeking applications for a full-time (40 hours a week) Clinic Manager – Administrative Associate 1 position (8208A1). 

Starting Salary Range dependent upon selected candidateâ™s relevant experience/education and internal equity: $21.64 – $26.45 hourly ($45,000 – $55,000 annually), depending on experience.

Work Arrangements: This role is 100% in-person. All work will be conducted at the ECRC, 1100 Washington Ave S., Minneapolis, MN 55415; Core business hours are 7:30-4:00pm M-F, however there will be times with flexible hours including some evenings and weekends,

Established over 20 years ago, the University of Minnesota Epidemiology Clinical Research Center (ECRC) has made considerable contributions to the field of public health. 

The ECRC Clinic Manager position is responsible for the coordination of the day-to-day operations for the center under the general direction of the Associate Director. The position works with up to 60 staff members and faculty who conduct clinical research in a busy community-facing human health research facility. Training will be provided on specifics of ECRC operations.

Responsibilities:

60% ECRC Operations / Administration

20% Communication with Internal/External Stakeholders 

10% ECRC Study Resource Planning 

10% Miscellaneous Tasks 

Detailed Description of Responsibilities:

60% ECRC Operations / Administration 

  • Collaborate with ECRC Associate Director to plan and assess ECRC operations and resource allocation in order to optimize efficient use of assets 
  • Hire, train, schedule and supervise the work of 4-6 student workers for ECRC front desk
  • Cover reception desk part time
  • Assist with development and maintenance of annual clinic operations budget
  • Oversee the use of the participant scheduling system (CTR Portal) and facilitate changes with back-end database developers. 
  • Troubleshoot for and respond to and daily issues raised by ECRC staff and vendors 
  • Under the guidance of the ECRC Associate Director, develop and implement safety and security protocols to safeguard the welfare of individuals and the institution

 

20% Communication with Internal/External Stakeholders 

  • Coordinate all purchasing and service requests through various vendors for communal clinic and study specific needs
  • Serve as liaison/representative to property management 
  • Serve as a Department Safety Officer (DSO); act as a liaison with Department of Environmental Health & Safety for laboratory safety management
  • Serve as ECRC representative on the Community Building Task Force in the Division of EpiCH
  • Facilitate connections with U of M departments and internal/external stakeholders; provide appropriate information as needed in order to optimize efficiency of operations 
  • Assist with the development of communications plans and SOPs to keep all students, staff and faculty informed of administrative procedures and changes

 

10% ECRC Study Resource Planning 

  • Collaborate with Associate Director, Principal investigators and study coordinators to identify study specific needs such as space arrangements, staff workspaces, parking needs, coordination of shared equipment usage 
  • Manage administrative procedures for effective implementation of new studies including onboarding and offboarding of study staff
  • Create quarterly reports for the Faculty Advisory Committee by updating study timeline and analyzing participant numbers data. Provide relevant participant numbers data to EpiCH upon request

 

10% Miscellaneous Tasks 

All required qualifications must be documented on application materials. 

Required:

  • Bachelorâ™s Degree  or a combination of  education and work experience to equal 4 years
  • Ability to work flexible hours including some evenings and weekends
  • Ability to engage in physical activity and lift 20+ pounds 

Preferred:

  • Computer experience with the following: Microsoft Office Suite, Google Suite, Adobe Acrobat, Photoshop, the UMN Enterprise Financial System (EFS)
  • Experience supervising students and/or staff; delegating work, setting expectations, evaluating performance and coaching
  • Experience handling confidential information including medical records and financial reports
  • Expertise with database design, management, data collection, tracking, and data analysis for systems such as the clinic participant scheduling system
  • Experience with managing and covering reception/ customer service
  • Demonstrated ability to work with diverse populations
  • Demonstrated ability to work independently and collaboratively with highly developed interpersonal skills and strong communication skills (oral and written)
  • Experience making recommendations, prioritizing multiple requests/tasks and exercising independent decisions in support of the management of a center, program or project.
