Hydrocephalus Canada (HC) is a national charitable organization with a mission to connect the hydrocephalus and spina bifida communities across Canada through support, education, awareness, and research.
The Information & Services Coordinator plays an integral role in the daily functions of the organization, including the execution of some financial duties. This is a permanent part-time position, with an expected commitment of 21 hours per week in office with some flexibility for remote work and schedule. The ideal candidate must possess a high work ethic and be passionate about bringing high standards of performance in an efficient, timely manner to support the charitable work of the organization.
Bookkeeping and Financial Responsibilities
- Process accounts payable invoicing i.e. authorizations, allocations
- Issue payments through cheque, electronic funds transfer, cash
- Prepare and make bank deposits by cheque, cash, electronic funds transfer & record in
QuickBooks
- Monitor cash flows
- Maintain electronic funds transfer data files and process credit card transactions
- Coordinate establishment/redemption of investments i.e. rate quotes, letters of direction, authorizations
- Prepare T4As for scholarship/bursary recipients
- Complete annual application for property tax rebate
- Assist with preparation of annual budget and audit
Program and Services Responsibilities:
- Maintain the membership program, ie. handle membership inquiries, applications and renewals
- Administer the annual scholarship and bursary programs
- Aid in the coordination of volunteer, co-op and placement student activities
- Support the delivery of programs and services, events and activities
- Manage gaming administration and liaise with regulatory officials
- Manage donor & member database i.e. produce official tax receipts, donor correspondence, and reports
- Special projects and other duties as assigned
Office & General Duties:
- Manage [email protected] email address and reception functions
- Prepare minutes of staff meetings
- Activities associated with incoming and outgoing mail
- Maintain office environment, equipment & supplies
Qualifications:
- Two-year community college diploma in accounting/bookkeeping or equivalent experience
- Thorough knowledge and experience in all aspects of bookkeeping and basic accounting principles and practices
- Experience in bookkeeping for a non-profit organization would be an asset
- Proficient in the use of QuickBooks and skilled in the use of Microsoft Office products
- Ability to work independently and with a high degree of efficiency and accuracy
- Ability to organize and prioritize workload to ensure cyclical deadlines are met
- Demonstrate integrity and professionalism in handling confidential information
- Working knowledge of fundraising software would be an asset
- Well-developed verbal and written communication skills
- Team player
