Department-Specific Responsibilities

  • Maintains internal production schedules for IU Press journals and facilitating the workflows of these projects with the editorial teams of each journal.
  • Supports printing and publishing activities for journals as well as administrative tasks related to special projects, print archiving, order fulfillment, and the coordination of the composition and layout of IU Press journals.
  • Performs a variety of complex administrative and creative tasks related to printing of IU Press journals.
  • Manages the lifecycle of journals by troubleshooting errors prior to printing.
  • Sets, updates, and monitors production schedules.
  • Manages the automated processes implemented for processing work.
  • Maintains and updates a detailed and centralized production schedule for publications projects.
  • Communicates with all parties involved in production to ensure schedules are met.
  • Notifies all stakeholders of any problems that may negatively impact production and manufacturing schedules.
  • Communicates with vendors about project production schedules.
  • Responsible for the safe storage and handling of all artwork used in the production of IU Press journals.
  • Prepares and emails order and subscriber files to printer.
  • Reviews and approves subcontractor invoices for payment.
  • Prepares invoices to send to editorial offices to collect payments.
  • Tracks all project-related expenses and ensures compliance with the journals and electronic publishing’s production budget.
  • Assists with the archiving and cataloging of all digital assets and proofs for IUP book and journal titles by depositing them in long-term storage.

General Responsibilities

  • Performs a variety of complex administrative and creative tasks related to the composition, layout, and printing of publications and projects.
  • Processes orders for the publication and printing of books, journals, business cards, signs, stationery, and other printed literature.
  • Reviews and makes minor corrections of customer-submitted files.
  • Troubleshoots errors with customer and/or department prior to printing.
  • Sets print specifications.
  • Reviews final print proofs for accuracy.
  • Operates printing and bindery software and equipment.
  • Archives publication and electronic files following printing.
  • Regularly consults with writers, printers, faculty, staff, and/or other stakeholders to ensure adherence to printing and publications deadlines.
  • May assist with special or urgent projects or handle complex print jobs.
  • Schedules production workflows.
  • May provide guidance to other Publications Assistants.
  • May make process recommendations to supervisor.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

Preferred

  • Bachelor’s degree

  • Working knowledge of Microsoft Office Suite, publishing programs, and graphics manipulation software such as Adobe Creative Suite (lnDesign, Acrobat, Photoshop, and Illustrator).


Physical demands are light to moderate. This role will require moving materials, boxes and packages weighing more than 15 pounds. This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.


$40,000 – $48,000 per year
