We are looking for an Office Manager to strengthen our Office Management Team made up of 2 people. You will be responsible for the efficient and effective operation of the office, providing administrative support, managing supplies, vendor relations and overseeing day-to-day activities to ensure a productive and organized environment for all staff compliant with office policies. You will report to the Director of HR & Legal.

Main duties and responsibilities:

  • Administrative & Operational Oversight: manage and contribute to the daily office flow of mail, packages, the reception inbox, scheduling and record-keeping. Liaison to the building manager (Cofinimmo) and manage office security (alarm, badge system, etc.);
  • Financial Management: handle budgets, process invoices, track and manage expenses, and handle vendor accounts & relationships;
  • Facility & Resource Management: manage and order supplies, manage office layout and facilities, coordinate maintenance/repairs, and provide excellent support at the reception in collaboration with team members;
  • Event Management: facilitate internal/external communication, manage and facilitate internal meetings and/or events, and handle catering requirements;
  • Policy & Compliance: implement office policies, office projects, and compliance;
  • Team management: manage, collaborate, and mentor 1 colleague and foster a culture of innovation, collaboration, and accountability.

  • Ability to work well within and across teams;
  • Strong people management skills;
  • Excellent organisational, time-management and multitasking skills;
  • Excellent communication skills, both written and when presenting;
  • Good analytical and reporting skills.

Experience

  • Previous professional experience as an Office Manager is a must.

Software

  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word).

Languages

  • Very good level of English (written and spoken);
  • French/Dutch is an asset to deal with Belgian suppliers.
