We are a small, family-run dental specialty office in San Clemente. Our office is low-volume, high-service with mostly out-of-network PPO and cash-pay patients. We are looking for a reliable patient concierge to work at the main entrance desk of our practice. You will be the first voice our patients hear and the first face they see so the first impression of our practice depends on your friendliness and efficiency. The ideal candidate will be a smart and trustworthy individual able to provide patients with a warm greeting and handle all patient needs including making appointments, insurance billing, and collections. The goal is to contribute to an overall pleasant patient experience from the moment the patient makes that first call to the moment they leave following treatment. Dental experience preferred and computer skills are a MUST. This is an opportunity to join an amazing dental team. The vision of Dr. Karen S. Potter and the team at San Clemente Endodontics is to provide the most compassionate, gentle, thorough, and skillful endodontic treatment to patients in the South Orange County area.

This will be accomplished using clinical knowledge and expertise, the latest technology available, patient autonomy, honesty, and a genuine care for the patient and their overall well-being.

Treatment will be prompt, pain-free, and will only be recommended if it is in the patient’s best interest.

Care will be delivered with the highest customer service possible from the moment the patient makes an appointment until they return to their referring doctor.

Follow-up care will be provided in the form of nightly Care Calls, emergency visits as needed, and endodontic recalls to monitor successful healing.

We will act as an extension of the generalist office to reinforce comprehensive treatment plans and the overall oral and systemic health.

Responsibilities

  • Work hours 8-5 Monday, Tuesday, and Thursday; 8-3 Friday; Optional 8-4 Wednesdays or every-other Wednesday
  • Field phone calls and schedule appointments for patients; confirm appointments
  • Check in patients upon arrival and enter data into computer
  • Communicate with insurance companies to estimate the patient’s copay for treatment
  • Check patient out and collect copay
  • Post insurance payments and send out patient bills/refunds
  • Coordinate CE courses hosted by Dr. Potter
  • Market the practice to referring general dentists; deliver gifts to dentists
  • Respond to complaints and find the appropriate solution

Skills

  • Customer service experience within or outside of a dental environment
  • Team mentality
  • Proficiency in English; bilingual (Spanish) is a plus
  • Excellent communication skills
  • Polite and confident with a great deal of patience
  • Ability in multitasking and time-management
  • Aptitude in resolving issues with a customer-focused orientation
  • Ability to work with computers; specifically must be able to learn dental scheduling software
  • High school diploma

Education:

  • High school or equivalent (Preferred)

Experience:

  • Customer service: 2 years (Preferred)
