Job Summary

Reporting to the Assistant Dean of Graduate Student Services, the Program Coordinator is responsible for providing oversight and program management of all the LeBow PhD Program activities in collaboration with the PhD Program Director. The position will oversee the full spectrum of student services and program logistics to provide a professional high-touch environment to our PhD level students. This includes activities related to recruitment, academic advising, student engagement and event planning. In addition, this position is responsible for the development and execution of orientations, bootcamps / workshops and special events via in-person and virtual. The Program Coordinator will also in conjunction with the PhD Program Director work to support and coordinate admissions with the department coordinators. This position will be responsible for understanding, interpreting and enforcing LeBow College of Business and Drexel University policy and operations.

Essential Functions

  • Recruitment/Enrollment
  • In conjunction with the PhD director, create a PhD recruitment strategy that includes on/off campus recruitment events and a robust communication plan. Oversee PhD admissions and recruitment events and activities, including, but not limited to attending recruitment events on and off campus, maintaining recruitment communication via the LeBow PhD email inbox, running open houses, and Slate application management. Engage prospective candidates in all phases of the admissions cycle via phone and email.
  • Academic Advising for designated student populations
  • Provide academic advising (individual and group) sessions via in-person and online formats.
  • Serve as lead administrative advisor to all LeBow PhD Students and enrollees to maintain their good standing and compliance with Program, College, and University requirements and objectives
  • Develop and facilitate individual and group new student orientation sessions and partner with appropriate units to develop and deliver co-curricular and professional development opportunities. Oversee and plan professional development activities and required training throughout the academic year for PhD Students such as in grant-writing, Instructor Training, Drexel University’s New Student Orientation, LeBow Math Camp, RA Camp, and faculty/student social events.
  • Ensure completion of quarterly course evaluations to support the college’s commitment to continuous program improvement.
  • Provide administrative logistical support for designated program. Monitor learning environment and proactively engage students; recommend program enhancements as needed.
  • Work with appropriate staff on the annual galley process to identify appropriate and efficient course allocation.
  • Ensure student records are maintained and updated on a regular basis
  • Develop communications strategy and content to continually inform students of academic requirements, resources, timely deadlines etc; Conduct graduation clearing for designated student population.
  • Participate in College and University commencement activities.
  • Alumni relations: Maintaining alumni information and contacts, organizing alumni outreach and coordinating events would be on the list of duties for an (almost) full time PhD Coordinator.
  • Coordinate with the Graduate College to ensure program and student compliance with University requirements. Coordinate with other colleges to ensure student registration and progress.
  • Operations
  • Work with PhD Director on developing and implementing new initiatives, quality improvement strategies, attainment of program goals, and external reporting.
  • Ensure PhD Program information, records and data are accurate, organized and reflected in a timely manner in the various Drexel university information systems.
  • Jointly with Department Managers, ensure accuracy and timely completion of HR paperwork including stipends, fellowships, awards, and tuition remission filings for PhD students.
  • Oversee PhD Program Budget and maintain PhD Program Travel Funds program and expenses.
  • Other duties as assigned

Required Qualifications

  • Bachelor’s Degree or
  • 2 years of experience in a higher education or related professional area or an equivalent combination of education and experience.
  • The successful candidate must possess a team-oriented outlook, is adaptable in a fast-paced changing environment, and can demonstrate strong written, public speaking and communication skills. Demonstrated ability to collaborate with key stakeholders including students, faculty, administrators, students, and alumni.

Preferred Qualifications

  • Experience in higher education preferred and or a relatable field.
  • Master’s degree preferred.
  • Experience/knowledge working with diverse student populations and adult learners. Strong organizational and project management skills required and ability to thrive in a fast-paced, team-oriented environment with frequent interruptions.
  • Ability to work on multiple projects at the same time while meeting tight deadlines. Strong work ethic with evidence of collaborating and partnering with colleagues across teams

Additional Information

This position is classified as Exempt, grade J. Compensation for this grade ranges from $47,490 – $71,230. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
