UW’s Division of General Surgery has an exciting opportunity for a Program Operations Specialist, which is part of UW School of Medicine’s Department of Surgery.

POSITION PURPOSE

The Program Operations Specialist, in collaboration with the Administrator of General Surgery and the faculty within the Division of General Surgery is responsible for the administrative, programmatic, and operational needs of the General Surgery Division’s Emergency General Surgery at UW Medical Center, collaborating with faculty to ensure smooth operations across clinical and academic sites.

As an integral member of the team, the Program Operations Specialist (POS) in the General Surgery Division at UW Medical Center plays a key role in providing comprehensive support to the Emergency General Surgery section. The POS collaborates closely with expert faculty and staff across multiple sites, ensuring seamless operational and programmatic efficiency. This full-time role requires a strong understanding of clinical and academic practices in general surgery, facilitating the division’s mission in patient care, teaching, and research.

DUTIES AND RESPONSIBILITIES

Primary duties for this position will fall into three categories:

  • Strategic and Programmatic Operational Responsibilities for the sub-programs of General Surgery, including Emergency General Surgery. Operational activities would take place at multiple sites in the clinic and academic arenas. = 80%
  • Operational oversight of policies, protocols, and compliance = 10%
  • Finance operation duties = 10%

The successful candidate will be skilled at advancing the Department of Surgery’s mission by supporting the clinical, research, and training activities of the General Surgery Division. They will have a substantial impact on divisional operations and faculty success, leveraging healthcare program experience, strong interpersonal and communication skills, and the ability to work effectively across multiple systems and locations.

MINIMUM REQUIREMENTS

  • BA degree in business, health sciences, biology, or other relevant
  • 2-3 years of experience and in healthcare programs

ADDITIONAL REQUIREMENTS 

  • Excellent interpersonal skills – ability to establish good working relationships with a variety of people
  • Can work successfully within a variety of systems and sites
  • Excellent communication skills in various formats
  • Expert user of Microsoft Office products; including Excel
  • Must understand basic financial/accounting concepts
  • Develop and implement project management tools and strategies

DESIRED QUALIFICATIONS

  • 3+ years working with a surgical program or academic medical programs
  • Experience working in an academic medical setting
  • Understanding of academic educational and research programs
  • Knowledge and/or expertise in creating content for publication, websites, and other media formats to highlight the academic work of the sections and division
  • Experience working with or as a Project Manager

CONDITIONS OF EMPLOYMENT 

  • Remote work 2-3 days per week is a possibility, depending upon business needs.
  • Will need to attend occasional meetings that occur in the early morning or early evening hours.
