Our economic empowerment programmes seek greater economic security and rights particularly for marginalized groups of women.  Other programmes in the region involve partnering with women in their efforts to engage in peace and reconstruction efforts and push for gender equality (GE) provisions integral to preparing for, mitigating, and responding to disasters and emergencies.  To bolster gender-responsive budgeting and public planning, we assist efforts to monitor the different impacts of budget and policy choices on women and men and to mainstream gender considerations across sector.
  • Reporting to the Planning & Coordination Specialist, the Programme Associate works with and provides support to the members of the Strategic Planning Unit Teams. The Programme Associate contributes to research, financial management, and planning processes including providing necessary operational, administrative and programmatic support. The Programme Associate works in close collaboration with the operations, administrative and travel unit as required for resolving administrative and finance-related issues and exchange of information.

Duties and Responsibilities:

Provide administrative and logistical support to the Planning, Coordination and Monitoring and Reporting unit:

  • Provide administrative support in the preparation of country and regional office work plans, budgets, and proposals on programme implementation arrangements;
  • Prepare minutes of GTG meeting monthly meeting, and events
  • Prepare information for the audit of programmes/ projects and support implementation of audit recommendations. 
  • Review programme data from programmes/ projects for the RO website; draft call for proposal in Africa Website
  • Identify sources and gather and compile data and information for the preparation of documents, guidelines, speeches and position papers.
  • Collaborate in the quality assurance of reports including donors and quaterly  and annual reports as well as follow up and integration in DAMS

Provide administrative support to the financial management of the Unit:

  • Create projects in Quantum, prepare budget revisions, revise project awards and status; and determine unutilized funds and the operational
  • Provide administrative support in monitoring budget preparation and the finances of Planning & Coordination Unit
  • Review financial reports; prepare non-PO vouchers for development projects;
  • Process payment for consultants.
  • Maintain internal expenditures control system;
  • Create requisitions in Quantum for Planning & Coordination unit; register good receipts in Quantum.
  • Assist in the preparation and follow up of cost-recovery bills in Quantum.

Provide administrative support to the Unit:

  • Undertake all logistical, administrative and financial arrangements for organization for meetings, workshops, events, and missions.
  • Make travel arrangements for the Planning and Coordination and reporting Team, including travel requisitions and claims; 
  • Support the preparation of public information materials and briefing packets. 
  • Assemble briefing materials and prepare power-point and other presentations.

Provide administrative support to Resource Mobilization:

  • Prepare cost-sharing and other agreements; follow up on contributions within the RO resource mobilization efforts;
  • Follow approval of donor agreement level 1
  • Organize, compile and process information from donors, RO, and programme team, as inputs to various databases and documents.
  • Act as Secretary of RPAC

Facilitate knowledge building and knowledge sharing:

Provide administrative support synthesis of lessons learnt and best practices related to programme management and finance;
Provide administrative support to the organization of training for the office staff and partners on programme and operations related issues.

Required Skills and Experience:

Education and certification:

  • Completion of secondary education required.
  • Bachelor’s degree in Business or Public Administration or any other social and human sciences career


  • At least 6 years of progressively responsible experience in administration or programme management/support;
  • Previous experience in supporting a team.
  • Experience in working in a computer environment using multiple office software packages;
  • Experience in the use of UN ERP is an asset;
  • Experience in an international Organization is an asset

Language Requirements:

  • Fluency in French and English is required
