Department 00225 – Rheumatology Job Summary

Administrative leader who, under the direction of the Division Chief, directs and manages all operational, financial, and strategic planning of a division within the Department of Internal Medicine. This Division Administrator position has direct reporting responsibility to the Division Chief, and functional reporting responsibility to the Department Senior Administrative Director. This is an exciting and dynamic position requiring oversight of clinical, research, and clinical education missions, coordinating across institutional partnerships and physician faculty members. Technical proficiency in related areas is essential, as are strong interpersonal relationship management skills.

The Department of Internal Medicine consists of 11 clinical and 1 non-clinical sub-specialty divisions with a clinical footprint that covers the Wasatch Front and beyond. With over 1,700 faculty, staff and trainees, the Department of Internal Medicine is the largest department on the University of Utah campus and growing rapidly. 

Responsibilities

Essential functions include, but are not limited to:

Leadership:

• Ability to network and forge strong cross functional relationships with stakeholders across the organization, including physicians, department and division leadership, hospital leadership, and other key stakeholders.

• Capable of serving as a trusted direct representative of the Division Chief when the Chief is not present.
• Strategy consultant to the Chief and a business resource to faculty and senior staff.
• In collaboration with Division and Department leadership, establishes vision and goals for division operations; supports managers, directors, and staff in pursuit of vision and goals through operations, clinical informatics, governance, and infrastructure.

Financial Management:

• Oversee the division’s financial objectives, including short and long-term budgets, purchases, space management, and inventory.
• Conduct complex financial analysis and ensure billing compliance.
• Prepare and monitor operational budgets for all academic missions (Clinical, Education & Research).
• Manage and present monthly financial profit/loss and budget variance reports.
• Understand and ensure compliance with all relevant financial compliance policies.

Clinical Programs:

• Implement and administer new and existing clinical programs and services to internal and external customers.
• Evaluate program effectiveness and manage clinical program development and expansion.
• Direct the division’s integrated clinical enterprise to meet financial, patient care, and academic goals.
• Plan and implement new clinical niche programs within sub-specialties.

Research Management:

• Manage the division’s research mission, collaborating with departmental and institutional entities.
• Direct and oversee all research development operations.
• Active participation in identifying new funded research projects that broaden the division’s research portfolio, and support faculty in pursuit of those funding opportunities.

Educational Support:

• Support the division’s educational mission, working with departmental and other division leadership.
• Oversee the division’s fellowship program to ensure objectives are comprehensive and consistent with institutional GME guidelines.

Policy Compliance:

• Participate in developing, interpreting, and ensuring compliance with division policies.
• Understand and ensure compliance with University and department policies and regulatory requirements.
• Ensure compliance with Federal and state regulations.

Goal Setting and Analysis:

• Establish internal objectives and implement procedures to meet goals.
• Assist in setting short and long-term goals and provide regular analyses of metrics related to these goals.
• Develop and provide short and long-term financial forecasting.

Human Resources Management:

• Oversee recruitment, onboarding, performance, and retention of faculty and staff.
• Provide staff feedback on performance, including on-time appraisals and coaching.
• Address employee complaints, concerns, and suggestions, providing appropriate follow-through.

Minimum Qualifications

Bachelor’s degree in Business or Public Administration, a related area, or equivalency (one year of education can be substituted for two years of related work experience) required; plus six years of progressively more responsible management experience; and demonstrated leadership, human relations and effective communication skills also required. Master’s degree in Business Administration or related area preferred. This position is not responsible for providing patient care. Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.

This position is patient-sensitive and must fulfill all associated requirements. Preferences

• Master’s degree in Business Administration, or related area.
• Minimum of six years of experience in practice management, clinic operations, direct patient care, or healthcare administration.
• Knowledge of managerial principles, human resources management, and risk management.
• Comprehensive understanding of academic medical center environment.
• Experience in analyzing and applying clinical informatics in hospital or ambulatory settings.
• Demonstrated leadership and project management skills with ability to effectively motivate team members comprised of physicians, advanced practice clinicians, and administrative staff.
• Motivated self-starter capable of identifying and operationalizing current and new initiatives, with little to no oversight.
• Excellent communication, organization, and human relation skills. Clear, confident presentation skills.
• Excellent decision-making capabilities and thoughtful exercise of judgment.
• A regular in office presence is expected at least through the first year, but hybrid arrangements may be considered as proficiency develops.
