The Raoul Wallenberg Institute of Human Rights and Humanitarian Law (RWI) has worked for more than forty years to promote respect for human rights through research, education and capacity development. RWI is an independent academic institution established at Lund University in Sweden in 1984. Currently, we have offices in Bangkok, Harare, Jakarta, Lund, Nairobi, Phnom Penh and Yerevan.

Operating in Jakarta, RWI is launching the CHANGE-SEA project, funded by the U.S. Bureau of Democracy, Human Rights, and Labor (DRL). This two-year initiative focuses on safeguarding civic space and promoting environmental human rights in Southeast Asia.

About the Position
The position is full-time and with a starting date in January 2025. The initial contract will be until 31 December 2025, with a possible extension. The offered contract will be under Indonesian labour law conditions and based on RWI terms and conditions for national staff.

The Project Assistant will assist the Project Officer with administrative and logistical matters in relation to project activities. The responsibilities will include coordinating events logistics and monitoring the activity budget.

Duties and Responsibilities:

  • Assist with logistical and administrative arrangements relating to the implementation of project
    activities, including making travel arrangements; identifying and booking activity venues;
    communication with and necessary administrative support to resource persons, participants,
    and partners; preparing, sourcing, and ordering equipment and materials; collecting and filing
    activity documentation; and preparing and summarising information for reports.
  • Prepare periodic information on project expenditures.
  • Periodic travel to Project activity sites to facilitate the implementation of Project activities.
  • Assist Senior Finance and Admin Officer (SFAO) to ensure compliance with donor and/or RWI
    internal standards and procedures regarding procurement of goods/services and financial
    rules/standards.
  • Assist SFAO to ensure the systemic application of contract design, delivery, and auditing
    practices for Projects and RWI’s operations in general.
  • Assist SFAO in ensuring the general administration of RWI’s office, asset register, stationery,
    and consumables.
  • Assist relevant staff and partners with Project budgeting, monitoring, and financial reporting.
  • Identify and develop methods and tools to improve RWI’s finance and administration, in
    coordination with the SFAO and Country Director.
  • Travel to activity sites to support, monitor, and/or quality assure RWI’s Project activities or
    financial accountability under his/her remit.
  • Identify, report, and act upon any risks or potential risks that could jeopardize RWI’s Projects
    or organizational reputation.
  • Coordinate with SFAO on maintaining and filing records of expenditure, processing invoices and
    claims for payments and tracking payments relating to the carrying out of Project activities.
  • Perform other duties related to project activities as directed by Country Director and Project
    Officer.
  • Liaise and communicate as needed with RWI’s Finance and Administration Department in Lund,
    Sweden.

Qualifications
Essential Criterion

  • A bachelor’s degree in a relevant field (e.g., finance, administrative, or related disciplines).
  • At least 3 years of professional experience in project administration, logistics, and support in
    development projects.
  • Experience in coordinating events, including travel arrangements, venue bookings, and
    managing participants or stakeholders.
  • Strong organizational and time management skills, with the ability to coordinate multiple tasks
    and priorities.
  • Basic understanding of financial management, including monitoring budgets and handling
    administrative tasks related to financial reporting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience in using
    financial management systems.
  • Strong written and verbal communication skills in English.
  • Ability to work with a diverse team, including international partners and local stakeholders.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Proactive and solution-oriented approach to problem-solving.
  • Willingness to travel as needed for project activities.

Desired

  • Experience working with international organizations, NGOs, or similar entities.
  • Experience in managing a US-funded project.
