Job DescriptionThe Department of Administrative Services – Fleet Division is responsible for the acquisition, management, policies, operation, maintenance, repair and disposal of motor vehicles used for the transportation of State of Iowa employees in their official duties. We are seeking to fill a vacant Secretary 2 position.This position will oversee the motor pool reservation system, process invoices, and support with general fleet operations.Job Duties:
The key responsibilities of this position include:
- Oversee and maintain motor pool reservation system – assist agencies and drivers with vehicle rentals; set up and train new users; generate utilization reports; research and resolve issues pertaining to the motor pool vehicles.
- Provide operational support – provide customer service to internal and external customers; coordinate maintenance appointments; process registrations/titles/plates; serve as Pcard/Travel card coordinator; process invoices; assist with vehicle delivery and exchanges.
- Observe current practices for process improvement recommendations; identify problems and possible solutions; document processes and procedures for internal operations guide; assist with project implementations.
Other Duties:
- Additional responsibilities include other aspects of fleet operations, such as maintaining vendor relations; assisting with scheduling maintenance and repairs; providing assistance to internal/external customers; and receiving new vehicle deliveries.

- This position requires teamwork, honesty, dependability, productivity, and accuracy; the ability to communicate effectively in person and in writing; strong customer service and organizational skills, the ability to multitask and meet deadlines in a fast-paced environment, and the ability to take initiative and be proactive.
- Candidates must be proficient in Microsoft and Google applications; demonstrate high level of integrity and professionalism in dealing with state agencies and external suppliers; comply with Iowa Code, Administrative Rules, and State of Iowa Employee Handbook.
