The department Neurology has an exciting opportunity for a Full Time Sr. Administrative Assistant to work at UHealth. The Sr. Administrative Assistant performs a variety of clerical functions, Clinical scheduling confirmation and management and office support activities for the assigned department(s) to facilitate the efficient operations of the office.  

  • Answer phones, triage, and follow-through on messages and information requests from patients using UChart, as well as internal and external customers.

  • Documents Telephone encounters into Epic

  • Reviews outlook and Epic in basket

  • Manages and all aspects of Toxin appointment coordination and Prior Authorization process as outlined in department workflow

  • Obtain pre-authorization for Toxin and Neurologic medications and patient procedures, coordinate medical necessity letters and other documents for patient assistance program under nurse and/or physician supervision.

  • Coordinate patients’ admissions to both at UMH and JMH

  • Coordinate physician on-call schedule and urgent calls -outpatient clinic.

  • Responsible for the scheduling and coordination of the physicians’ clinical schedule including JMH, JSMC, UMH, PAC and satellite clinics. 

  • Work closely with Department’s clinical operations staff to ensure seamless coordination between the faculty members’ clinical activities and their academic/administrative work. 

  • Coordinate and supervise appointments for VIP patients. Responsible for all post visit care.

Minimum Qualifications

  • High school diploma or equivalent

  • Minimum 3 years of relevant experience

    Knowledge, Skills and Attitudes:

  • Strong conflict management and resolution skills.

  • Outstanding interpersonal skills, ability to handle and resolve sensitive human resources issues.

  • General knowledge of office procedures and operations

  • Ability to accurately prepare and maintain records, files, reports and correspondence

  • Ability to communicate effectively in both oral and written form

  • Ability to maintain effective interpersonal relationships

  • Ability to process and handle confidential information with discretion

  • Skill in completing assignments accurately and with attention to detail

  • Proficiency in computer software (i.e. Microsoft Office)

  • Outstanding organizational skills are necessary to manage many competing timetables and responsibilities. Ability to delegate and effectively supervise and plan for the timely and successful completion of short- and long-term objectives.

  • Excellent verbal and written communication skills to communicate effectively with a large and diverse constituency, including administration, division faculty, patients and support staff. Will communicate information in written, electronic, oral and presentation formats.

  • Requires the ability to work independently and to accept responsibility for complex and sensitive decision-making as it relates to the overall flow of the ambulatory practice.

  • Interpersonal relationship skills needed to motivate staff and work with leadership, and physicians in a positive and collegiate fashion.
