General Purpose:

Using the EPIC EMR system, individual will be responsible for working with clinical staff and patient’s family to schedule procedures and or surgeries. Verifies insurance hospital coverage for all patients and obtains authorizations as needed. Ensures all surgical clearances needed prior to surgery including but not limited to cardiac, neurological, and pulmonology are obtained.

  • Maintains utmost level of confidentiality at all times.
  • Adheres to hospital policies and procedures.
  • Surgery Scheduling Specialist sets up the time and date for surgical procedure, diagnostic tests, pre-operative and post-operative follow up appointments based on patient needs and availability of surgeons.
  • Enters international classification of diseases (ICD) and CPT codes into authorization section of the scheduled surgery, along with any pertinent information of the case.
  • Calls insurance companies for pre-certifications requirements and in-network status.
  • Obtains prior authorizations for next day urgent surgeries and Driscoll Health Plan patients, for both in-patient and out-patient services. 
  • Surgery scheduling specialist ensures that procedures/surgeries have appropriate authorization, are updated in the EMR system timely and accurately, and will continuously monitor status. 
  • Interacts with patients, physicians, and surgical staff, both within the clinic and hospital, providing accurate, timely and responsive information.
  • Documents pertinent information from providers and parents into patient’s chart
  • Must be flexible to clinical operational hours and needs.
  • Understands importance of optimizing surgery schedule.
  • May be required to float to other clinics as needed.
  • Travel to satellite locations may be required.
  • Follow anesthesia guidelines when scheduling and rescheduling patients for surgery.
  • Coordinates and works with vendors, home health, DME, and additional resources as needed for pre, intra, post-op and patient social needs. 
  • Ensures labs and ancillary services are coordinated for scheduled procedures and surgeries successful.
  • Coordinates surgeries with other services lines both internal and external customers.
  • Demonstrates business practices and personal actions that are ethical and adhere to corporate compliance and integrity guidelines.
  • Confirms necessary consents are obtained, in person or by mobile sign as needed.
  • Keeps open line of communication with all stakeholders to problem solve any barriers related to surgery scheduling.
  • Must manage multiple tasks in a busy medical office environment.
  • Possession of strong problem-solving skills and sound judgment.
  • Ability to achieve team goals while demonstrating organizational values and time management.
  • Ability to be proactive and take initiative.
  • Performs other duties as needed and assigned.

Spanish speaking preferred.

Must be able to travel to satellite clinic with Neurosurgery team.

Must maintain a valid driver license – if selected a MVR report will be run
