Responsibilities:
- Troubleshoot procedural and operational issues directly with the department.
- Coordinate and monitor patient follow-up using Refract Tracker and EPIC systems.
- Prepare and send admission reservations/requisitions with demographics and insurance info to hospitals.
- Manage case coordination and communication with hospital personnel for admission approvals.
- Discuss and organize financial arrangements, including collecting pre-payments before surgery.
- Ensure informed consents are signed by patients.
- Provide pre- and postoperative instructions based on service-specific guidelines.
- Coordinate patient education seminars and schedule physicians for these sessions.
- Collect research data for studies.
- Schedule pre-screening exams, diagnostic tests, post-op appointments, and surgical cases.
- Maintain current and accurate billing and insurance information.
- Complete special projects as assigned by the department.
- Serve as a liaison between patients and referring physicians.
- Obtain pre-certification and referrals as needed before procedures.
- Track and coordinate internal and external marketing efforts.
- Attend and schedule department meetings.
- Respond to all incoming calls regarding surgery, providing educational materials and information.
- Strong organizational, time management, and interpersonal skills.
- Tact and diplomacy in interactions with physicians, patients, families, and colleagues.
- Compassionate and professional patient care.
- Independent work with sound decision-making.
- Knowledge of insurance regulations (Medicare, BC/BS, managed care, workers’ comp).
- Ability to prioritize tasks effectively.
- Maintain confidentiality in all job-related matters.
- Limited medication access, restricted to distribution to the nurse.
Required:
- High school diploma or equivalent
- Completion of a medical assisting program or 2-4 years’ experience in a medical field.
Preferred:
- Proficiency in medical terminology
- Knowledge of the Epic practice management programs
- General knowledge of computer software and practice management databases is essential.
