Responsibilities:
Troubleshoot procedural and operational issues directly with the department.
Coordinate and monitor patient follow-up using Refract Tracker and EPIC systems.
Prepare and send admission reservations/requisitions with demographics and insurance info to hospitals.
Manage case coordination and communication with hospital personnel for admission approvals.
Discuss and organize financial arrangements, including collecting pre-payments before surgery.
Ensure informed consents are signed by patients.
Provide pre- and postoperative instructions based on service-specific guidelines.
Coordinate patient education seminars and schedule physicians for these sessions.
Collect research data for studies.
Schedule pre-screening exams, diagnostic tests, post-op appointments, and surgical cases.
Maintain current and accurate billing and insurance information.
Complete special projects as assigned by the department.
Serve as a liaison between patients and referring physicians.
Obtain pre-certification and referrals as needed before procedures.
Track and coordinate internal and external marketing efforts.
Attend and schedule department meetings.
Respond to all incoming calls regarding surgery, providing educational materials and information.
Strong organizational, time management, and interpersonal skills.
Tact and diplomacy in interactions with physicians, patients, families, and colleagues.
Compassionate and professional patient care.
Independent work with sound decision-making.
Knowledge of insurance regulations (Medicare, BC/BS, managed care, workers’ comp).
Ability to prioritize tasks effectively.
Maintain confidentiality in all job-related matters.
Limited medication access, restricted to distribution to the nurse.
Required:
High school diploma or equivalent
Completion of a medical assisting program or 2-4 years’ experience in a medical field.
Preferred:
Proficiency in medical terminology
Knowledge of the Epic practice management programs
General knowledge of computer software and practice management databases is essential.
