Teaching and Learning Coordinator

Position Description

  • Assist with special collections instruction, including researching collection material relevant to course topics, selecting materials, paging collection material, setting up collection materials in classrooms, corresponding with instructors, and independently proctoring collections use in class sessions.
  • Coordinate and triage instruction requests received through the Archives and Special Collections Class Request Form across all participating special collections repositories.
  • Assist with logistics and coordination for instruction and fellowship classes, workshops, and other events.
  • Assist in scheduling classes, booking instruction spaces, and ensuring classroom supplies are stocked and maintained.
  • Coordinate outreach events and initiatives aimed at students, instructors, and campus groups.
  • In collaboration with the Head of Teaching and Learning, gather and analyze instruction-related statistics and assessments.
  • Manage reading room holds for class use.
  • Create internal and public instructional guides and resources.
  • Provide training and one-on-one support to staff in Archives and Special Collections around instructional workflows, tools, and technologies.
  • As needed, participate in reading room coverage, including assisting patrons with library systems and providing instruction in handling archival, manuscript, and rare book collections.
  • Document and contribute to development of instruction policies.
  • As necessary and in coordination with the Circulation and Collections Manager, page and shelve materials from the closed stacks.
  • Contributes to the overall goals of the department as appropriate.

Basic Qualifications

  • Minimum of four years’ experience in special collections, archives, academic libraries, or related institutions. Education may count toward experience

  • Familiarity and comfort with archival and bibliographic description.
  • Knowledge of basic preservation and conservation issues as they relate to rare books and archival collections.
  • Demonstrated initiative flexibility and ability to work collegially and creatively within and across organizations.
  • Excellent written and oral communication.
  • High-level judgment and discretion and comfort with ambiguity.
  • Ability to manage a broad variety of tasks in response to shifting priorities and changing constraints.
  • Aptitude for detail, accuracy, efficiency, and good organizational skills.
  • Ability to manage time and tasks and complete projects in a timely manner.
  • Ability to work independently and as part of a team.
  • Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint, Teams), Google Suite, and Zoom.
  • Familiarity with one or more languages (in addition to English) desirable
  • Bachelor’s degree preferred.

Working Conditions

  • The position will be based on site in Cambridge, MA. There may be opportunity for a hybrid work model compliant with Harvard University policies.
  • Work location is responsive and subject to change based on business needs.
  • Requests for flexibility will be considered consistent with Harvard University flexwork policies
  • The work associated with this position is performed in a library/office setting.
  • May interact with collections that may contain dust, mold, or other contaminants.
