Result of Service

The output will be generation of solicitation documents, reviews of technical evaluation reports, and most importantly, conducting accurate commercial evaluations, free of errors and in a timely manner. These are measurable output of which milestones are attached to.

Duties and Responsibilities

Organizational Setting and Reporting This position is located within the Procurement Section of a United Nations Peacekeeping Mission. The Procurement Assistant supports procurement activities related to goods and services in accordance with the UN Procurement Manual, Financial Rules and Regulations, and mission-specific policies. Key Responsibilities: • Assist in the procurement of goods, works, and services, including preparation, issuance, and administration of solicitation documents (RFQs, RFOs, RFPs). • Receive, review, process requisitions and procurement requests to ensure completeness, accuracy, and compliance. • Coordinate bid receipt, opening, evaluation processes, and prepare comparative statements and draft recommendations for award. • Prepare and issue purchase orders, contracts, task orders, and amendments in the relevant ERP system (e.g. Umoja). • Liaise with requisitioners, technical units, vendors, and other stakeholders to ensure timely delivery of procurement actions. • Monitor contract implementation, delivery timelines, and vendor performance, and follow up on outstanding issues. • Support contract administration activities, including extensions, amendments, and closure of procurement cases. • Maintain accurate procurement records and ensure proper filing, archiving, and uploading of documentation for audit and reporting purposes. • Assist in the preparation of procurement reports, statistics, and responses to audit or management queries. • Provide guidance to end users on procurement procedures and compliance requirements. • Perform any other duties as assigned by the supervisor.

Qualifications/special skills

Bachelor’s degree in Procurement and Supply Chain Management is required. A minimum of Eight (8) years of experience in procurement and supply chain management, contract administration. is required. Experience using ERP systems such as Umoja is required. Experience of Three (3) years in a UN peacekeeping mission is desirable CIPS Level 6 certificate is required Prince 2 Practitioner certification is required

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English oral and written is required.
