Main purpose of job:

We are looking for a Driver and Corporate Services Assistant to support the British Consulate General in Sydney.

The successful candidate will be responsible for driving and maintaining the vehicles at the Consulate – ensuring that senior staff, especially the Consul-General and Deputy Consul-General are safely driven to work functions as necessary.

When not on driving duties, the job holder will be reponsible for office administration and supporting office operations at the Consulate. This includes ad hoc purchasing and payments, event assistance, security, and building management liaison.  

This is an interesting and varied role that will involve Ministerial and senior officials’ visits to Sydney. As the Consul-General represents His Majesty’s Government at commemorative events in New South Wales, there will be a need, on occassion, to work on certain weekends, including early starts, or late-night finishes.

The successful candidate will need to be flexible and resilient to help cover last-minute changes during busy periods.  Overtime will be available for hours worked beyond the contracted weekly hours (by prior approval).

We are a flexible employer who offers working from home to most of our staff.  Due to the nature of this role the opportunity to work from home will be limited and ad-hoc.  
Responsibilities

Logistic & transport management (60%):

  • Provide safe and punctual driving services to the Consul General, Deputy Consul General, staff, and official visitors to appointments, functions, and airports during office hours and after hours as necessary.
  • Oversee maintenance of official vehicles and ensure permits are up to date.
  • Regularly check oil, water, brake fluid, battery, and tyres of official vehicles.
  • Be familiar with the best routes to and from destinations and be prepared to alter routes when necessary.
  • Facilitate airport pickups for VIP visitors and transportation during official VIP visits and follow pre-agreed programmes.
  • Official delivery, for example: Correspondence to government authorities or organisations and assistance in processing various permits or payment documents for the bank.
  • Keep track of car registration renewals.
  • Complete accurate vehicle record sheets for each vehicle. Sign out or return vehicle inspections when vehicles are driven by other staff.
  • Maintain the official vehicles, ensuring they are in clean condition, both inside and outside.
  • Ensure vehicles are serviced on time and schedule vehicle servicing in consultation with the Security Manager.
  • Always ensure the safety of passengers and vehicles when on duty.

Administration (40%):

  • Procurement and contractor management.
  • Health and safety checks and inventories.
  • Support the work of the Information Technology Support Officer on a range of IT related troubleshooting.
  • General office support for staff, visitors and events.
  • Conduct purchases for office expenditures, obtain receipts, and account for all expenditure.
  • Liaise with the building management and facilities management providers, including raising work orders.
  • Participate in crisis exercises and assist as required in responding to any crisis.
  • Maintain office inventory.
  • Fire, health, safety, and security liaison (including with building management).
  • ID pass issuing and programming.
  • Security/Health and Safety induction for new starters.
  • Other ad hoc duties, as required.

  • Holds a current full clean driving licence.
  • Ability to work flexible hours (including some evenings/weekends).
  • Able to multi-task and prioritise
  • Positive attitude and a customer-focused approach
  • Displays personal integrity, honesty, and discretion.
  • Knowledge in basic Microsoft office and computer skills.
