Main purpose of job:

  The British Embassy Bangkok is a large diplomatic mission of around 150 staff delivering a dynamic and rapidly expanding programme of activity in support of the UK’s objectives including on economic and sustainable development, trade, security, open societies, consular services and law enforcement. This is an exciting opportunity to join our diverse team.  

Chevening is the UK Foreign Commonwealth and Development Office’s flagship global scholarship programme. Chevening identifies future leaders and key influencers across 160 countries and territories, providing them with an opportunity to study a postgraduate degree in the UK. Chevening has 55,000 strong global alumni network.

The purpose of this job is to deliver the Chevening programme in Thailand, working closely with teams based in the UK, teams within the Embassy, and the Chevening alumni network. The duties and responsibilities set out below cover the work required to run the Chevening programme effectively.

Roles and responsibilities / what will the jobholder be expected to achieve?

Chevening Strategy

  • With support from your line manager, draft, consult on, agree and implement the Embassy’s annual Chevening Strategy, which covers all aspects of Chevening programme delivery and alumni engagement.
  • Be an active member of the Embassy’s Joint Education Working Group.

Scholar Recruitment

  • Lead the Chevening application process, including downloading applications, assisting with shortlisting, arranging and conducting interviews, updating the Chevening online application system with short-lists and interview results and organising pre-departure briefings.
  • Liaising with the relevant Programme Officer – International / Senior International Programme Officer at the Secretariat in London to coordinate the application and selection process.
  • Organising timetables and management of Chevening  interview panels.

Programme Outreach and Marketing

  • Working with the comms team to generate written and visual content for social media, press and radio.
  • Proactively identifying other ways to promote Chevening, such as attending university fairs and other outreach events.
  • Managing the Chevening marketing budget, keeping records of promotional material, contacting suppliers for quotations and following up that new orders are produced according to the Chevening branding guidelines.
  • Requesting and making use of marketing materials from the Chevening Secretariat.
  • Sharing information about the scholarships with all colleagues in the embassy in order to foster embassy-wide promotion of the scholarships

Programme Administration

  • Adhering to deadlines and requests set by the Scholarships Unit (TSU) and the Chevening Secretariat, such as submitting annual programme, marketing and alumni plans, and country briefings for the Reading Committee.
  • Carrying out administration of the programme in line with Chevening policy as set by TSU.
  • Responding to enquiries regarding the scheme and acting as point of contact with the Embassy team on Chevening-related marketing activities, application process and alumni events.
  • Responding to  requests for information or insight from TSU or the Secretariat.
  • Maintaining positive relationships with applicants and award recipients before, during and after their award.

Alumni Engagement

  • Updating and maintaining the database of Chevening alumni. Promoting and actively using Chevening Connect to engage with alumni.
  • Establishing and developing an effective Chevening alumni network, organising a series of alumni events from concept to delivery and  annual departure and welcome-home events.
  • Working with colleagues across the Embassy to identify priorities themes for engagement with the alumni network, and to facilitate Embassy-alumni engagement.
  • Successfully bidding for alumni engagement funding opportunities and managing budgets associated with these.
  • Working with the alumni to develop strong project bids to the Chevening Alumni Programme Fund, and ensure effective management of those projects.
  • Keeping TSU and the Secretariat regularly up to date with alumni engagement work in country.

Partnerships

  • Develop local partnerships and account-manage existing partnerships including outreach, engagement and data management.
  • Engage the wider Embassy to get their input and support to develop partnerships.
  • Ensure any existing partnerships are managed effectively, working with the secretariat to ensure timely payments from partners.

Finance

  • Ensure all financial issues are dealt with effectively and in line with policy, including ensuring costs are charged to the correct budget and meeting policy guidelines.

Other 

  • Other Ad Hoc tasks as required.
  • In times of peak operational demand, work flexibly within the Section and within the Embassy.
  • All staff will be expected to make a corporate contribution to the smooth running of the British Embassy, either through a committee membership or another voluntary role.

Resources managed (staff and expenditure):

  • No staff
  • Management of scholarship awards for Chevening Thailand (valued at circa £800k p.a.)
  • Day to day responsibility and administration for the Chevening Alumni Fund (approx £5,500 p.a.), and Chevening Marketing budget (approx £1,200 p.a.).

 

 

  • Excellent written English and verbal communication skills
  • Strong interpersonal, communication, organizational and presentation skills
  • Strong track record of customer focus and team working skills
  • Strong IT skills, Microsoft Office (Word, Excel and PowerPoint) and web based applications
  • Strong stakeholder engagement skills
  • Some knowledge of UK higher education system and institutions

Language requirements:

Language: English and Thai

Level of language required: English/Thai: equivalent of IELTS 7.5 – no IELTS certificates are required, but please note that language skills will be tested throughout the recruitment process.

  • Experience managing recruitment campaigns
  • Experience managing communications campaigns, including use of social media

Learning and development opportunities (and any specific training courses to be completed):

The British Embassy Bangkok encourages all staff to develop their capabilities, through both formal training (courses) and informal (job-shadowing, coaching, on-the-job training etc.). The majority of our formal L&D opportunities are drawn from FCDO resources. All staff are encouraged to share their skills and experience with colleagues, through informal training (‘lunch & learn’) or coaching/mentoring. All staff are eligible for 5 L&D days a year.

Working patterns:

This is a full time role – 36 hours/week, Monday to Friday.

We are currently operating a hybrid working pattern with staff expected to work from the Embassy for 60% of their working week.

The Embassy has a smarter working policy and is committed to offering flexible working patterns balanced with the operational requirements of the role. In crisis/emergency situations you may need to work as required to support the Embassy response, sometimes on a shift pattern, which may result in unsociable hours and/or weekend working.
