The British Government’s Consulate in New York has an exciting opportunity for an organized and dynamic person to join the Corporate Services Team as a Corporate Services Officer focusing on HR, protocol and finance. This network provides a platform for approximately 30 Government departments and agencies to conduct their work in the United States and is made up of over 900 staff with a rich and diverse background, skill sets, and experiences.

This is a chance to support the wider enablement function within the Consulate and the UK’s Mission to the UN in New York.  The role is a broad-based operational role – the prime focus is on transactional HR, financial reporting and protocol support.  This is a great role for candidates looking for an entry point into business management and operational support.  

The New York British Government Office is comprised of over 200 staff, across two offices, 8 Government Departments, and a wide range of policy priorities. The successful candidate will therefore be working with diverse range of stakeholders and issues – exceptional people management and clear written and spoken communication skills are essential. The jobholder must have an adaptable approach with a willingness to learn and work flexibly across a broad range of issues, including new areas not covered above, which might emerge during the individual’s time in the role.  Therefore, the successful candidate will be collaborative, proactive and willing to help others enthusiastically.

Roles and responsibilities:

  • Work with the Community Liaison and Protocol officers to administer all induction, on-boarding and accreditation processes for UK Officers and Local staff.
  • Provide financial support to the Consulate’s senior management team.
  • Lead on service, support and guidance to all staff on Hera (Government Finance Systems) including Activity Recording, Corporate Credit Cards, reviewing financial compliance reports, charging code queries, updating expenditure and hospitality guidance. This includes working to build and fostering a culture of finance best-practice for all staff.
  • Liaising with HR team & Hub in the Embassy, DC, and London finance teams, to develop / improve HR & finance expertise & best practise at post.
  • Support Finance officer on overseeing Income Generation / event invoicing.
  • First line of contact, working closely with Embassy teams, to provide guidance on payroll administration (e.g. set-up & general guidance). This includes ensuring all new hires are set up on payroll at the time of induction.  Complete ad hoc payroll paperwork for casual staff at posts.
  • Provide support on other ad hoc corporate services functions and tasks as directed by Managers.

Resources managed:

No budget directly managed although the role will have some oversight and reporting on the Consulate’s operational budget. 

  • Excellent and adaptable people engagement skills, including a proven track-record in providing a quality service across a variety of tasks and settings.
  • A high degree of professionalism, pride and attention to detail in delivering a quality and efficient service to colleagues and managers.
  • Adaptable, flexible and energetic; ability to work well in a team, with external contacts, with senior managers and to show judgement in helping multiple teams and managers to work collaboratively to deliver shared tasks and help others.
  • Strong written and oral communication skills.
  • Experience of Microsoft Windows, including a strong understanding of Word (essential), Excel (essential), PowerPoint and Outlook, and with bespoke data, record-keeping, personnel and finance IT systems.
  • Strong communication skills – written and verbal

Language: English
Level of language required: Fluent written and spoken English

  • A foundational knowledge in HR or finance would be beneficial.
  • Previous experience of working in the area of office support is helpful, especially if in New York and/ or if HR or Finance related.
  • Previous experience of office administration, including record-keeping, finance processing and dealing with a diverse customer base, is desirable.
  • Comfortable in working in a high paced office environment.

Working patterns:

This role is 40 hours a week, with an expectation that the core hours are covered – 0900am – 3:00pm daily. 

The British Embassy and its US Network embraces hybrid working, allowing its staff to typically work from home up to two times a week.  We are an organization that also recognises the critical value of team work and we embrace and endorse collaboration by ensuring that all staff attend the office flexibly yet regularly. 

This role will lead on in person onboarding, taking place on Monday (or the Tuesday following a Monday public holiday). The successful candidate will need to be in the office for any onboardings.

Appointable candidates who were unsuccessful may be placed on a ‘reserve list’.  If during the reserve period of 6 months the same or a largely similar role becomes available, that role may be offered to the second or subsequent candidate.

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
