Main purpose of job:
The British Embassy in Caracas is looking for an organised and efficient person to provide admin support to the Corporate Services section.
The priorities of the role will be to:
- Provide admin and procurement support to the Corporate Services section.
- Provide cover for Estates and Protocol officers, during periods of leave and sickness.
- Human resources, including set up arrangements for new arrivals and departures.
- Support UK based staff settling into Post (set up bank accounts, accommodation support, medical services, etc).
- Support to the L& D champion, support HR manager preparing contracts, monitoring contract renewals.
- Support HR on managing medical services by providing admin support for Country Based Staff with health insurance and travel insurance, and UK based staff with healthcare processes and ambulance services. Provide support to the Deputy Corporate Services Manager for managing local medical providers.
- Prepare monthly spend forecasts for L&D and medical insurance.
- Act as the secretariat for the Committees in the Embassy, including overseeing Terms of Reference, setting up meetings and producing minutes.
- Undertake general admin duties.
- Arrange hotel accommodation for incoming visitors and new members of staff and manage the relationship with hotel providers.

Essential on arrival:
- Working on similar roles (managing admin tasks, deadlines, delivering results to different stakeholders).
- Experience in managing providers.
- Basic IT knowledge (e.g. Microsoft 365).
- Basic procurement knowledge
Candidates must be eligible to work and live in Venezuela
Language: Spanish and English
Level of language required: Advanced (both written and oral)
Fluency will be assessed through the recruitment process, including at the interview stage.

Learning and development opportunities:
The British Embassy is strongly committed to learning and development (L&D), with an active L&D Committee offering a wide range of in-house training and funding for external training related to each role. All staff are encouraged to set aside time for L&D. The jobholder will be expected to complete mandatory courses during their probation period. In addition, they will receive training according to the role, have full access to the FCDO’s International Academy and online training resources and will be encouraged to take full advantage of both formal and informal learning events as and when available and relevant.
Employees who are not liable to pay local income tax on their Mission salary, e.g. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
If during the reserve period of 12 months the same or largely similar role becomes available, that role may be offered to the second of subsequent candidate.
