The British Embassy in Chisinau is part of a worldwide network, representing British political, defence, economic and consular interests overseas and is now looking to recruit an Office Manager.
The Office Manager is part of the Defence team, providing effective administrative and office management support, assistance and guidance to the team in their daily operation and administrative work.
This role would therefore suit an organised and reliable administrator, with excellent attention to detail. A flexible, collaborative and proactive mind-set is key; we need someone who can handle a wide range of operational tasks and adapt to changing priorities. The Office Manager reports directly to Defence Relations Officer.
Roles and responsibilities:
- Support the Defence Section’s team members as and when required, assisting with various tasks and projects to enhance team efficiency and productivity;
- Ensure the accurate completion and retention of Defence Section documentation for audit purposes, maintaining compliance with organisational policies and regulatory requirements;
- Assist with document drafting, such us letters, Business Cases, ensuring accuracy and adherence to organisational standards;
- Ensure timely submission of financial reports and annual returns;
- Arrange flights, hotel and taxi booking for Defence Section visitors;
- Prepare and timely submit travel documents in accordance with UK requirements;
- Assist in coordinating and organizing events and visits (admin support);
- Manage DA’s residence, including advising staff, maintaining inventory and stocks;
- Any other administrative duties as required.

- Independent user in English, Romanian and Russian (B1 according to the Common European Framework of Reference for Languages*);
- Proficiency in Romanian (C1 according to the Common European Framework of Reference for Languages*);
- Minimum of three years’ relevant experience in office administration/support;
- Resilience – the ability to work under pressure;
- Proactive can-do attitude;
- Able to work independently;
- Excellent organisational skills, time management and ability to prioritise effectively;
- Computer literacy across range of Microsoft Office Package.

This is a full-time permanent contract. The Embassy’s pay and benefits package is in compliance with local labour law. The gross monthly salary for this position is MDL 21,694. The annual leave entitlement is 24 working days per calendar year and the Embassy also enjoys 14 Moldovan/UK public holidays per year.
The successful candidate will be subject to a reference check, security clearance and satisfactory completion of a probationary period of three months.
Foreign Commonwealth & Development Office (FCDO) have a strong Learning and Development (L&D) culture supporting a 70:20:10 learning posture (70% on-the-job informal learning, 20% informal learning from others, 10% formal learning).
The successful Job Holder will receive an induction plan with a suite of mandatory e-learning courses and have access to job-related training, enabling the successful Job Holder to become comfortable and effective in the role as quickly as possible.
