Job Summary:

The Assistant Director Religious and Spiritual Life is responsible for oversight of Robert Carr Chapel and its related campus and community events including, but not limited to: classes, concerts, speakers, rehearsals, worship, weddings, and departmental & university programs. This includes oversight of the facility schedule, staffing, operations, finances and communications. Additionally, this position is a member of the Office of Religious and Spiritual Life department and provides operational and administrative support, such as budget management, event support, purchasing supplies, marketing, communications, technology & website updates, and supervision of student staff. This position also provides administrative oversight of departmental contracts, official recognition of external associate staff, & provides administrative support to student religious organizations.

Duties & Essential Job Functions:

1. Oversees program and facility schedule by maintaining a calendar of chapel programs and events annually and schedules campus and community events within that space.
2. Determines meeting and event requirements for purpose of event with those requesting to use the chapel, and manages communications to ensure appropriate resources and staff are available at the event.
3. Serves as in-office liaison for scheduled memorial services and non-weddings related events in the chapel; providing information regarding facility, guidelines and options; communicating with vendors and community partners, and conducting chapel tours as needed; managing reservations, facility staffing, contracts; preparing and distributing monthly calendar.
4. Oversees the Robert Chapel facility including the oversight of ongoing maintenance, inventory, repair and improvement schedules; oversees work with support staff and outside contractors addressing the detailed technical needs of chapel audiovisual systems, organ maintenance and other related technologies.
5. Supervises Chapel Coordinator who schedules weddings, communicates with wedding clients & vendors, and who serves as the onsite manager of weekend wedding coordinators, AV techs, and student parking attendants.
6. Manages finances for Robert Carr Chapel by monitoring budgets, reporting expenses and invoices, and reconciling chapel income with expenditures.
7. Manages RSL and Robert Carr Chapel’s accessibility through website maintenance, facilitating campus and community visibility, writing and distributing communications, and marketing for RSL programs and events.
8. Manages RSL departmental operations including, but not limited to, budget analysis, event support, marketing, communications, purchasing supplies, technology updates, and supervision of student office staff.
9. Maintains historical references by capturing appropriate TCU related news articles & alumni narratives about Robert Carr Chapel for inclusion on the chapel websites.
10. Participates in staff meetings, committees and initiatives; and supporting departmental programs.
11. Provides direct oversight of the administrative process for official university recognition of external associate staff including background check completion, AdobeSign contracts, job descriptions, references, and up-to-date certificates of insurance.
12. Oversees and manages all contracts related to contract workers for both the chapel and RSL.
13. Oversees and manages points of access for external associate staff and contract workers, such as room reservation, campus ID’s and internet access.
14. Provides administrative support for student leaders of student religious organizations for marketing and reservation procedures.
15. Provides direct oversight of all virtual and print publications for the chapel and RSL programs.
16. Plans and coordinates all hospitality events for the chapel and RSL.
17. Performs other related duties as assigned.

Required Education & Experience:

• Bachelors’ degree
• 3 years in higher education administration, event planning and/or management.
